Easily copy files/folders from one pc to another

We are always being asked how to transfer data "easily" from one computer to another.. Here are several options - all of which are quite easy:

USING AN EXTERNAL OR PORTABLE HARD DRIVE
You can "copy" all of your folders/files from one computer to either an External Hard Drive or Portable Hard Drive for temporary storage.  When you are ready, simply "paste" them to the correct main locations on your new computer...

WINDOWS EASY TRANSFER (Microsoft) - You will need an easy transfer cable to use this option..
P  Click "Start."
P  Click "All Programs."
P  Click "Accessories."
P  Click "System Tools."
P  Click "Windows Easy Transfer."
P  Follow the onscreen prompts to transfer the files you want.

MOUSE WITHOUT BORDERS (Microsoft) This is a free software download from Microsoft that was designed for people who use many computers in the same room. For example, a laptop or tablet that you take to meetings might sit right alongside the desktop PC in your office and allows you to control up to four computers from a single mouse and keyboard.

I have to tell you that I've used it many times now since the fall of 2012 and have no hesitation introducing it to all of you...  I find it easy to download and use, so that I can copy folders and files from on computer to another - whether PC to laptop or vice versa.. Also very easy when you are moving folders or files from one pc to another (as long as they are both up and running at the same time...and it works very well between Windows XP, Vista 7 & 8 operating systems, but I haven't been able to use it yet on Macs (assume the software isn't approved yet by Apple)...but I've also just downloaded it to my Smartphone and love it...

No matter which way you choose, be sure the data transfer is complete before deleting the information on the disk or old computer.

What to do when you see an "Error Message"?

From time to time, we all receive an error message we don't understand – so you will want to capture your screen so you’ll be able to research the error message accurately, first on Google and if that doesn’t help you then you can show what was actually on your monitor to your favorite tech support person for their help…

FIRST: To capture your screen:
When the error message is on the screen – Hold the CTRL Key down and simultaneously hold the  PRINT SCREEN KEY  on your keyboard (on some laptops you will need to hold the Fn key and simultaneously hold the PRINT SCREEN KEY).  This action takes a copy of everything on your monitor at that moment in time including your Task Bar…
Next, open whatever you use for your word processing program, Word Pad, Word, Word Perfect – and when you have a blank page on the monitor – activate paste and remember there are 5 different ways to paste-use the one you are comfortable with:
1)     Use the right click on your mouse-action list appears, choose paste
2)     Use the action key on your keyboard, tap it & the action list will appear, choose Paste
3)     Use the Paste icon on your toolbar
4)     Use edit on your Menu Bar, when the menu list appears, choose Paste, or
5)     Use your keyboard: by holding the CTRL Key and  V key at the same time

SECOND: Once the photo of your monitor w/the error message is on your piece of paper, save it (you should have a "troubleshooting folder" on your pc for these things) – Once it is saved, print it off for your reference…note I always put a date on my document so I know when it happened - and once I get the "fix" to the problem I type that on the document also for future reference...

THIRD: Type the error message into Google Search, so will find recommendations from others who have had the same problem – some will e individuals, but more than likely you will see recommendations from the software company itself telling you how to correct the problem.  It’s recommended that you a few different websites opinions before jumping to a conclusion.

Remember, we can type any question into Google in plain English, it is the easiest way to search for anything - You can even type in a telephone number and if it’s not a private number/or cell phone you will see the name & address of the person it belongs to..

FOURTH:  If you don’t find a simple solution you are comfortable trying, then talk to your favorites tech support person – you can show them hat was happening or if you are contacting them via email, you can email them the document you created so they can see exactly what was happening at the time you received the error message…

Good luck and remember with a little effort – you are the one in control..…

How To Add a Link In Your Email To A Popular Video

Whether you are visiting “YouTube.com” or “HuLu.com” or a local media stations, there may be times that you will see a video that you think someone you know would like to see. It is easy to copy that video location and paste it into your email. Here’s how:

If you have just watched a video on Youtube, look up at the address bar. You will see something that looks like this in the “address bar” of the internet browser (Internet Explorer, Chrome or Firefox) that you are u sing.

http://www.youtube.com/watch?v=z-6dQvOSYmI

  • Highlight the letters in the address bar, by hovering your mouse over the highlighted area and right click.

Dealing With Error Messages

From time to time, we all have error messages appear on our monitor that we don’t know what they mean. Next time this happens this tip will help:

First:
I always save the error message in word for future reference. To do that easily:

· Use your CTRL Key – Print Screen Key together (this will take a copy of the error message & all that is on your monitor at the time)

· Now open your WP software (Word, Works, Word Pad) and use your PASTE command-now the error message is on a clean piece of paper-Now Save it so once you know what this means, you can type the answer on the same page for future reference

· And print the message so you can see it easily

Next:

· Type the error message into Google Search.

· You are not the first (and won’t be the last) to get this error message.

· Personally I read a few answers, to be sure I am getting an answer I understand and resolution I can work with

Last:
Once I have the explanation and resolution I need, I use my copy and paste skills:

· Highlight the information

· Activate your copy command

· Open the document that has the error message copy on it

· Put my cursor on that document and activate the paste command, which adds the answer and resolution

· And save it once again

Now in the future if the error message comes back up, I have my answer.

What is Excel? And why would I use a spreadsheet?

Most of us understand that word processing software makes it much easier to create documents such as letters, forms, invitations, greeting cards and anything that contains text. Well – Excel does the same thing for us – making it easier to work lists, figures, numbers for list management, budget, statistics, data – anytime any type of calculation needs to be done. Although Excel spreadsheets/worksheets used to be used primarily for accounting and other analytical information where calculations needed to be made easily; but many of us find them a wonderful resource for list and other data management.

Like so many software application programs, Excel opens with a blank document – but in Excel that blank document is a blank worksheet, which is actually a grid of rows and columns.

In Excel, the rows of you spreadsheet/worksheet are serially numbered 1,2,3 .... and the columns are serially lettered A,B,C..... This numbering enables each space or cell to have its unique address; thus D15 represents the cell in the 4th column and the 15th row.

In Excel, using the ‘=’ sign, simple mathematical equations or formula can be used and sums, differences, products etc. calculated. Thus typing say, ‘=23+56’ in any cell will give the result of 79. The same work can be done by typing in the numbers 23 in cell A1, 56 in A2 and ‘=A1+A2’ in cell A3 and in fact what you have done is create a “formula”

Using a formula with cell references allows us to change the value in either cell A1 or A2 to get the revised result. This has significant advantages when using a complex formula or the same formula across multiple cells. The more recent your version of Excel, the easier it is to create and/or use formulas included in the software command list.

So many of the basic commands that we use all the time in Word Processing whether you use Microsoft Word Pad, Word or Word Perfect, such as Open, Save, Copy, Paste, Find, Replace Undo, Redo, Center, Left, Right etc.. are also available and work the same in Excel, Excel also offers a variety of basic commands that are designed to work with spreadsheets – whether you are managing a list of data or one with numbers and some of those are Paste Special, Filter, Sort, Wrap Text, Autofill, and Freeze panes.

And with the newer versions - Excel 2003, 2007 and 2010 - each new version adds more and more "templates" so that we don't have to recreate the wheel - so whether you are creating a budget for the holidays, a special event, your vacation or next years income & expenses - or various lists for managing data - there are hundreds of templates to choose from with the formulas already built in...

So whether you are trying to create a basic budget or want a way to quickly and easily maintain you all of your contact lists in one document – Excel is the answer.. So give it a try... it's easier than you think and can be used for so many things..

Word Processing "Keyboard Shortcuts"

These are some of my favorite keyboard shortcuts when I'm working in MS Word - Word Processing - they can really help to save time…

  • Ctrl+X, Ctrl+C, Ctrl+V = Cut, Copy and Paste respectively. These work in virtually every Windows program. Learn them, use them, save LOTS of time and mousing around in the Edit menu.
  • Ctril+A=Select All, which highlights you entire document-whether 1 page or 1,000 pages so you can make changes quickly and easily to your entire document
  • Ctrl+B = Apply Bold. Highlight text then click Ctrl+B...and it’s bold.
  • Ctrl+I = Apply Italic. Same idea as adding bold, except it adds italic instead.
  • Ctrl+Y = Repeat the last action. Say you just added a row to a table. Click Ctrl+Y and add another one. Keep doing it and add a whole bunch of them.
  • Ctrl+spacebar = remove all local formatting. If text looks weird, it could be because you may have inadvertently added something. It's also good consistency. You can make sure that the only formatting you're applying is the stuff you've set up in your styles.
  • Shift+F3 = Toggles case. If you know people who type in all upper case - Yikes-how aggravating!!! So just use Shift+F3 to switch case from UPPER, lower, and Initial Caps.
  • Ctrl+Home, Ctrl+End = Move to the top and bottom of a document, respectively.
  • F8 + arrow keys = Select text. Sometimes selecting large bodies of text with the mouse is a big pain. Use F8 in conjunction with the arrow keys or Page Up and Page Down keys to select it more easily.

Remember if you have favorites that you use all the time, let us know what they are so we can share them with your fellow students... in the meantime - enjoy!!

What is Windows Explorer?

Windows Explorer gives you a fast, easy way to view, copy, delete, move, etc., the folders and files found on all of your disk drives (like a big filing cabinet) It’s important to remember, Windows Explorer is very different from Internet Explorer..

Windows Explorer lets you play with – find & organize the files and folders on your computer, just as though it were a metal file cabinet and work easily moving and/or copying files and folders to and from different drives, such as when you are copying files/folders from your computer to your portable hard drive or flash drive.

Internet Explorer is “Browser” software that allows you to connect to other computers via the World Wide Web & search for information

The easiest way to access Windows Explorer is to hold the windows flag key down & tap the letter “E”. You can quickly and easily access the Windows Explorer this way without having to minimize any other applications or screens that you have open and are working with

Copy, Paste, the “Clipboard” & “Ditto”

“DITTO” is a free feature available in Windows Operating Systems XP, Vista & 7 and is free

The “CLIPBOARD” is the “virtual spot” where items are held when you use either the copy or cut feature. So when you activate the copy or cut command, whatever you have “highlighted” and then copied or cut, will be held on the CLIPBOARD. It will remain there until you activate the PASTE command and remember, you can activate the paste command wherever you’d like – in an email, in a document using word, word pad, word perfect, an excel spreadsheet, that book you are working on in BookSmart or Walgreen’s, or any where else.

This is useful for URLs (web addresses from your browsers address bar), news articles, instant messaging, e-mail and much much more.

Typically the clipboard can only hold one thing at a time*. You can copy a block of text and paste it somewhere else. Then you have to go back for the next block. To copy and paste multiple things, you have to go back and forth.

*The clipboards in newer versions of Office programs, such as Word, Excel, Power Point, Access & others can hold many more items than a single item; this has been true since Office 2000 and the number items which can be stored has increased with each newer version of Office
You can activate “Ditto” which takes away the “one item a time” limitation. It allows your clipboard to hold more than one entry. So copy a URL and some text and a few e-mail messages. Then paste them wherever you'd like without going back and forth. Your clipboard holds it all.

You can copy and paste just like you've always done. To activate “Ditto” use your keyboard shortcut - press Ctrl + `. You'll see a list of past items you have placed on the “clipboard”; just click on the one you want to paste.

PRINTING FROM THE INTERNET Part 2 of 2

The first two options we reviewed in Part 1, are for quick-easy printing directly from the internet. But, many times we want to be able to change/enlarge the Print style or size of what we are printing from the Internet to make it easier to read, especially with articles, directions, and other important information. So that is when this option works well…

Option 3:

  • “Highlight” the portion of the Internet item you want to print & change (to copy to Word)
  • Be sure pointer is on what’s highlighted then "Right click" on what you have highlighted and an action menu appears - choose/left click on "copy"
  • Minimize email/internet; Open Word, NotePad, Works, whatever WP program you use
  • Right click again (be sure pointer is on the blank page Word, etc), Left click "paste"
  • Now in Word, NotePad or Works, make your print/font style, size changes
  • To print, either left click on the printer icon on the toolbar OR
  • Left click on "file" on the toolbar, then left click on "print"
  • Left click “selection or current page" in page range section & "number of copies you want"
  • Left click "OK" and it will now print with all your changes
To Save what you have now worked on, left click on "File", then "Save As", then be sure you are in "C" Drive, then "My Documents" or find your Flash Drive/Memory Stick and choose that - then choose the folder you want to put it in and left click on Save

TIP: try not to use the printer icon on your internet toolbar, because when you print using this ICON, you will print everything on your monitor including the ads, etc..

COPY (OR MOVE) FILES AND FOLDERS TO A CD or DVD

  1. Insert a blank, writable CD/DVD into the CD/DVD burner.
  2. Click the files or folders you want to copy (or move) to the CD/DVD. To select more than one file, hold down the CTRL key while you click the files you want.
Under File and Folder Tasks, click Copy (or Move) this file, Copy (or Move) this folder, or Copy (or Move) the selected items.
  3. In the Copy (or Move) Items dialog box, click the CD/DVD burner drive, and then click Copy (or Move).

  6. Under CD/DVD Writing Tasks, click Write these files to CD/DVD.
  7. Windows displays the CD/DVD Writing Wizard.
  8. Follow the steps clearly outlined in the wizard.

Notes:

  • For Audio Files - Music - we recommend using CD-R's
  • Do not try to copy more files to the CD/DVD than it will hold. Check the CD/DVD packaging to see the capacity of each CD/DVD.
  • For photo or Video files too large to fit on a CD, you can copy files to a recordable DVD.
  • Windows XP does not support copying to a DVD, so you have to use DVD authoring software (such as Windows Media Player, Picasa 3, Roxio or others).
  • Windows 7 has DVD maker software built in
  • Make sure you have enough disk space on your hard disk to store the temporary files that are created during the CD/DVDwriting process. For a standard CD, Windows reserves up to 700 megabytes (MB) of the available free space. For a high-capacity CD, Windows reserves up to 1 gigabyte (GB) of the available free space
  • After you copy files or folders to the CD, you can view the CD to confirm that the files have been copied.

How to use a Blog

How do I use a BLOG?? this recent question from a student is one we are sure many of you may be asking..

All BLOGS are intended to be "informational" just like any newsletter you might receive. But in addition to reading the "posts-otherwise called articles" that we publish on our BLOG, you can also copy any of the "post/articles" and save them to your word processing files so you can then print them for your books, and you can comment on what we've said in a specific "post/article" - The how to's are noted below..

  • To copy a post/article to be able to change the size and/or print: highlight any portion of the post/article - activate the paste command, now open or go to your word processing program and on a clean piece of paper - activate the paste command. What you had highlighted will now be n the page and you can change the font size and style and note - that you might want to change the color of the entire post/article to BLACK because most blogs use a light gray print (even though it may look black)... Once it is the way you want it, you can go to File, Save As, Open or Create the specific folder you want it saved in - remember to give it a name that will make it easy for you to find in the future.. and you can now print it off to add to your computer book...
  • To comment on a "post/article" that has been written - note that beneath each "post/article", you will see the word comment - and when you left on the phrase "comment" it will take you to a dialog box, that you can then type your comments about the "post" article that you have just read...

Print Screen Key - Why & How To Use This

You get an error message on your screen or something happens you don't understand - don't try to write all the information down - simply use your PRINT SCREEN KEY (usually located to the right side of your keyboard-to the right of Function Keys F1-F12)

What the PRINT SCREEN KEY does is capture an image (takes a photo of) your entire monitor screen, also known as a "screen shot" or "screen capture", and copies it to the Clipboard in your computer's memory.

Once you use the PRINT SCREEN KEY - you need to PASTE the image somewhere - Word Pad, Works, Word, an email, wherever... Activate Paste (CTRL+V; or use your action key and click paste; or use the paste icon on your toolbar/ribbon or right click and then left click on paste from the action menu) where you want it and when you do, the entire image that was on your monitor will now be where you pasted it. You can now Save this and/or print the image so that you can show it or discuss it with a technician or whomever...

Note - some OS (operating systems) require you to use:

  • the CTRL + PRINT SCREEN KEY, AND/OR

  • most laptops require you to use the Fn Key + Print Screen

Having a true photo of your monitor screen is beneficial for discussion and future reference (especially when something happens and you tell someone and they tell you that can't possibly happen) Now you can show it to them...

Cut - Copy - Paste

Once you master the skill of copying and pasting, so many things we do on the computer: working with emails, the internet-such as shopping & banking, directions; of course working with word processing - writing letters, recipes, flyers, invitations; saving to flash drives, portable hard drives, moving photos from our digital cameras to folders; burning CD's & DVD's; and much more, becomes so easy. So practice these skills often - and remember there are 5 different ways that you can activate the commands to cut - copy - paste...

TO CUT/COPY & PASTE:
